Backfills and WFP

Is there information specifically on how to manage backfills and requisitions tied to those backfills? I’m interested in how everyone is managing incumbents and creating reqs for those  backfills?

From a WFP perspective, Bob’s recently released functionality to allow one position to have multiple openings was a big win for our use case. We essentially have each position within our organization listed in WFP, and then if we need to backfill a role, we can either:

  • A) backfill into the same opening if the individual has already left by the time we make the hire, or
  • B) create a second opening to hire the individual into if the incumbent is still employer (or as was the case for our feature request, when someone takes a leave of absence)

 

This ensures each employee is always assigned to a position (prior to this release, we had individuals who were unassigned, and we had to wait until someone was on a leave or left, remove them from the position, and then assign the new employee, which meant their assignment date in WFP didn’t align with their hire date).

 

I wish I could provide you some additional information on how to manage requisitions tied into backfills, but we opted not use Bob for our ATS.

Hi, Thank you for the feedback. We don’t have Bob ATS either but I still seem to be running into issues with making sure it’s tracking the incumbent and their history and linking them together. I’m new to the WFP module and maybe missing a few details to assure that positions are being opened and aligned correctly.  I’m use to Workday where you can link the backfill profile when you open the position and it tracks the history.

I’m not an expert in the WFP module, but my understanding is:

  • Each position can have multiple openings assigned to them
  • Incumbent history against a position is tracked as long as they are assigned to an opening that is attached to a position
  • Incumbents will have a “start date” when they are assigned to the opening, allowing you to track when they started in a position

 

I’ve attached two files for your reference that will hopefully help - redacted information for privacy purposes. As you’ll see, there is history tracked within the position, showing two individuals in the role at different times. It doesn’t track end date, however.

 

If you have the positions set up, there is the data in the Employee Profile under “Positions” where you can also see the history for a specific employee. So you can view either by position or by employee depending on where you access the data.

 

I also came from a Workday shop and that was one of the references we provided when we raised this initial issue, specifically for leave of absences.

 

It’s not the cleanest set-up for WFP modules, but at least for our purposes it’s worked so far.

 

I hope that answers your question and clarifies how to use WFP a bit more.
