When a manager goes on holidays, can the time off requests be delegated to someone else?

In situations when a manager is on holiday, the common practice, is temporarily changing the specific employees' approver.

This can be done in Time > People's time off > Policy balances > Select the policy by selecting the relevant employees > Actions > Change approver. Like this:
 

You can then change the approver to the manager when they're back to work.

 

Either that or having one of the HR Admins temporarily approving the requests (perhaps with the second level manager confirmation) if the request can't wait for the manager to return from holiday.

 

Another thing that is commonly done, is enabling the permission to approve pending requests from other on the "Managers" group, so second level managers can approve the requests for their reporting lines:

In this case, the manager of the manager who is on leave, would be able to approve the requests that are pending approval!

Hi! Is there any view from HiBob to be working on an auto-delegations feature? Would be so helpful for managers to be able to auto-delegate all tasks/forms/approvals if they are going on leave.

While I know there is a manual/Admin workaround for individual items, being able to do this in bulk and ensure the system is handling pushing these to a delegate would be incredibly helpful.

It would be ideal if the Manager had the option to assign a delegate when they submit their time off request or to even allow HR Admin to assign an end date for the change of approver to revert back to default.

At this time, the best workaround is to manually change the approver as mentioned earlier. However, I’ll make sure to share your feedback. We’re always looking to improve based on user feedback.

Yes, please add the function for managers to delegate. And also that it can be with for a time period!


Hi, has there been any update on if this feature is in development? We’d love to see a delegation feature for when managers are away on leave, ideally something the managers can action themselves that temporarily forwards approvals to another manager, and reverts upon their return from leave.

I have a question re the option to change the approver when a manager goes on holiday.
Is it only HR admins that can make this change? Or is there also a possibility for the Manager themselves to assign their team’s time off to another approver and then edit it back to regular when they are back?

Managers themselves cannot directly assign their team's time off requests to another approver when they go on holiday. The common practice is for HR admins to temporarily change the specific employees' approver. This can be done by navigating to Time > People's time off > Policy balances, selecting the relevant employees, and using the Actions menu to change the approver. Once the manager returns, the approver can be changed back to the manager

Alternatively, HR admins can approve requests on the manager's behalf, or second-level managers can be given permission to approve pending requests for their indirect reports by enabling the permission in the "Managers" group

I am also a big supporter of this potential new feature.

  • I do not want HR to take this admin as managers get ‘lazy’ and will expect HR to always accept (+ we do not have the business insights to see if holidays can actually be taken. is it not as simple as ‘how many people in a team are working that period’ in our case)
  • The alternative of having 2nd level managers approving could be a workaround, but they will be drawn in notifications and requests in our case. So it will cause quite a bit of population and frustration when managers are not on holiday.

Is there any update on this feature being created? Hibob was implemented into our business as a catalyst for change and to drive managers to take responsibility of their task, line reports and data.

The suggested workarounds of putting the responsibility back onto the HR/People team is continuative to this.

I feel that this is a crucial feature for the development of Hibob.

+1, this is such a basic feature that even more rudimentary time off tools like iLucca have it available.


Any update on this?  Only being able to have 1 approver and no delegation is very limiting.

could you please be so kind and let us know if there is an update on this feature? We see this as most have to be frank as it is a common feature in any time recording system that we have used. Besides, it not only is relevant for managers when they are absent but also for the Executive team who usually work with assistant roles who would usually manage those thing, such as tasks or absence requests from employees.
