When configuring the policy:
- Create a dedicated time off policy type for the leave you want to manage.
- Set the base allowance and accrual method according to how the entitlement should be granted. For a policy where the full entitlement is granted upfront rather than accrued throughout the year, you can set the base allowance to 0, turn off monthly accrual, and manage grants through manual balance adjustments.
- Set the policy cycle to match your leave year.
For employees who receive different allowances during their first year, use manual balance adjustments for milestones that occur during the year.
HiBob's Years of Service functionality supports full-year milestones, but it can't automatically trigger entitlement changes at shorter intervals such as 3 or 6 months. These grants therefore need to be managed manually per employee or through a bulk import.
For later years, use Grant additional days based on years of service in the allowance increase settings to configure tenure-based entitlement changes.
Keep in mind that the additional allowance applies starting the year after the selected milestone is reached, so factor this into the configuration.
For annual upfront grants, use manual balance adjustments when the new leave year begins if the policy requires the full entitlement to be granted as a lump sum rather than accrued periodically.
Configure carryover settings according to your policy, including any limits and expiration period.
Some eligibility or compliance requirements may need to be managed outside the policy configuration. For example, if entitlement depends on attendance or employees must use a minimum number of days within a certain period, HiBob may not automatically validate or enforce these requirements. In these cases, use the relevant time off reports to monitor the requirement and manage it manually.
