To ensure utmost accuracy in time-off accrual amounts, we have implemented an update that refines proration calculations, specifically when utilizing the advanced function 'Exclude certain days.'
The 'Exclude certain days' function is designed to exclude specific types of paid and unpaid days when computing the accrued time-off allowance. For more details on this feature, refer to our documentation.
The update:
Outlined below are the changes we've made to the proration calculation and an overview of which employees may be affected by these adjustments.
1st change:
Before the change, the 'Exclude days' function exclusively employed 'Any day' proration in its calculations. With the recent update, the calculation now considers either 'Any day' or 'Calendar day,' depending on the selection in the proration settings.
Affected employees:
- Assigned to policies where allowance proration is set to "Calendar days"
- Policies that have advanced settings for "Exclude certain days"
- Policies where the "Exclude certain days" feature has been used
2nd change:
Before the change, the inclusion of bank holidays in the expected workdays calculation was determined by the status of the "Paid statutory and bank holidays" checkbox. Following the recent update, bank holidays are now excluded when trimming accrual, specifically when proration is set to workdays only.
Affected employees:
- Assigned to policies where allowance proration is set to "work days only"
- Policies with advanced settings configured for "Exclude certain days"
- "Paid statutory and bank holidays" checkbox was ticked
- The feature "Exclude certain days" has been utilized.
3rd change:
Before the change, the proration for part-time employees using the 'exclude days' function was determined based on the Full-Time Equivalent (FTE%) calculation. With the recent update, the proration method has been refined to align with the actual workdays according to the individual's working pattern.
Affected employees:
- Part-time employees with workdays differing from the site default
- Policies featuring advanced settings for "Exclude certain days"
- The "Paid statutory and bank holidays" checkbox was ticked
- The "Exclude certain days" feature has been actively used.
4th change
Before the change, when a request was overridden, the original request was factored into the exclude days calculation. Following the recent update, the new request will now be considered in the proration.
Affected employees:
- Employees under policies where request override is allowed
- Policies equipped with advanced settings for "Exclude certain days"
- Both features, request override and exclude days, have been actively used.
5th change
Before the change, the excluded days calculation included periods of long-term leave when utilizing leave flow. With the recent update, the proration calculation now excludes long-term leave periods from the expected workdays.
Affected employees:
- Employees with long-term leave periods indicated by lifecycle status
- Policies featuring advanced settings for "Exclude certain days"
- The "Exclude certain days" feature has been utilized.
6th change
Before the change, the excluded days calculation factored in periods when the employee was in 'Hired' status. Following the update, the proration calculation no longer includes periods when the employee was in 'Hired' status in the expected workdays.
Affected employees:
- New joiners
- Assigned to policies where allowance proration is set to ‘Prorate from Hire date’
- Policy has the advanced settings of “Exclude certain days”
- The feature has been used.
