If you use an hourly Time off policy for part-time employees with different working hours each day, it’s important to understand how Bob calculates Bank Holiday proration.
For hourly policies, Bank Holiday proration works as expected when a part-time employee works the same number of hours on each working day. If the employee has a custom working pattern with different hours on different days, Bob does not use the employee’s actual scheduled hours for each individual Bank Holiday.
Instead, Bob uses the Hours in a non-working day value from the employee’s working pattern as the standard daily value in the Bank Holiday calculation.
For an hourly policy, Bob calculates the entitlement using:
Prorated allowance + [RoundUpToHalf(FTE × Total Bank Holidays × Working Pattern Hours Per Day) − (Bank Holidays Falling on Working Pattern × Working Pattern Hours Per Day)]
Where:
- Prorated allowance = Allowance × Employee FTE
- Working Pattern Hours Per Day = Hours in a non-working day configured in the employee’s working pattern
For example, an employee might work 21 hours per week across five days:
- Monday: 2 hours
- Tuesday: 5 hours
- Wednesday: 4 hours
- Thursday: 6 hours
- Friday: 4 hours
Their average working day is 4.2 hours.
If Hours in a non-working day is set to 4.2 hours, Bob uses 4.2 hours for each Bank Holiday included in the calculation. It does not calculate a Monday Bank Holiday as 2 hours and a Thursday Bank Holiday as 6 hours.
This means the automatically prorated balance may differ from your organisation’s calculation if you want Bank Holiday deductions to reflect the employee’s actual scheduled hours on each date.
If you need the entitlement to reflect those actual hours, you can:
- Disable Bank Holiday proration and calculate the appropriate entitlement for affected part-time employees using your organisation’s calculation method.
- Import or manually adjust their allowance to the required balance.
Alternatively, you can grant the Bank Holiday entitlement upfront as part of the allowance and apply the relevant deductions separately for employees on Flexible or Custom working patterns, based on the Bank Holidays that fall on their scheduled working days.
