Add Allowance Based on Years of Service

Reward employees with extra time off based on how long they’ve been with the company.

You can automatically grant additional allowance days after specific work anniversaries. Here's how to set it up:

  1. Create a new time off policy
Start by creating or editing a time off policy where you'd like to apply this rule.

  2. Turn on the years of service allowance
In the Policy Details section, scroll to Allowance Increase.
Toggle on Grant additional days based on years of service.

  3. Set your rules

    • Choose the milestone year(s) when extra days should kick in

    • Add the number of extra days to grant

    • Pick the reference date that determines when those years are counted

Important: The extra allowance will apply starting the year after the selected milestone is reached. For example, if you add a rule for Year 3, the extra days will be granted in Year 4.

Hi there, is there any way to add additional days holiday based on a set date (e.g. of a company forming) which is not the employee’s start date as the anchor date for granting additional days?

We add additional long service days based on company formation date (Dec 2022) rather than start date as some employees who TUPE’d over have much longer service. We award it as an anniversary date for continuing with us on our journey :)

Is there a solution for this that I’m missing rather than having to manually move employees to a new policy every time they reach a milestone?

Thanks!

@HiBobCustomer

Can you tell me, which data field does this one use for adding the extra days?

Would love if it could be original start date or seniority date since the regular start date field sometimes differ from legal start date.

Hi @Julie Møller

Time off policies in HiBob are based on the "Start Date" field, which determines time-off entitlements such as holiday and sickness leave based on the length of service.

Hi, we use this feature already but I wish it didn’t pro-rate the extra day. The way I’d love it to work is that the employee accrues 1 day on their 2 year anniversary and have until their next anniversary to use it. Do you know if this is being worked on at all?

@Inês Oliveira do Vale are there any plans for having the ability to use another date than the start date? Especially for policies where you want to grant people additional days based on seniority date.

Is there an update? We also have this issue as the start date field does not hold the date on which allowance increase should be based.
