Use separate time-off policy types to track different paid and unpaid periods of parental leave when payment itself is managed outside of Bob.
Time off policies can be defined as paid or unpaid, but they don’t track specific payment amounts or pay segments. For example, if your parental leave includes two weeks at full pay, up to 20 weeks with a fixed $500 top-up, and an unpaid period, the $500 payment amount will need to be managed separately through your payroll process.
To track the different periods in Bob, create separate policy types for each part of the leave:
Go to Time > Time Off Settings > Policies.
- Create a policy type for the full-pay parental leave period and configure its corresponding policy as paid. For a two-week full-pay period, set a fixed allowance of two weeks.
- Create a separate policy type for the parental leave top-up period and configure its corresponding policy as paid. Set the default allowance to 0 and enable manual balance adjustments so you can assign the appropriate amount of leave to each employee.
- Create another policy type for the unpaid parental leave period and configure its corresponding policy as unpaid. Set the default allowance to 0 and enable manual balance adjustments so the leave can be adjusted for each employee.
Using separate policy types allows the employee to be assigned to each leave type at the same time. You can then manually adjust the relevant balances based on how much parental leave the employee plans to take.
For example, an employee may use:
- 2 weeks of the full-pay policy
- 8 weeks of the top-up policy instead of the full 20 weeks available
- An additional period of unpaid parental leave
Bob tracks the leave duration through these policies. Any specific payment amount, such as a fixed $500 top-up, is handled outside of Time off.
