How to create a TOIL time off policy with zero accruals using converted overtime from Attendance

This guide explains how to set up a TOIL (Time Off in Lieu) policy with no regular accruals, where employees build their balance only through overtime converted from Attendance.

 

Please note that this guide covers only the mandatory settings required to achieve this setup. Any other policy configuration can be adjusted based on your company’s needs.

 

Step 1: Create a Time Off Policy Type

Create a new Time Off Policy Type with the following settings:

Unit: Hourly

Override: Enabled

 

This policy type will be used later for the TOIL policy linked to converted overtime.

 

Step 2: Create an Attendance Policy

Create an Attendance Policy with the following settings:

Reporting method: Start and end time

 

Overtime: Enable overtime

Base overtime on: Fixed threshold

Daily overtime: Enabled

Hours: Set the number of worked hours after which overtime should begin to count

Attendance balance: Allow carryover to the next cycle

Convert overtime to time off: Enable this toggle

Time off policy type: Select the policy type created in Step 1

 

 

This setup allows Bob to track overtime and convert eligible hours into time off.

 

Step 3: Create the Time Off Policy

Create a new Time Off Policy using the policy type created in Step 1.

Configure the following settings:

Time off tracking

Choose Annual allowance

Allowance entitlement

Set the allowance to 0

 

Balance limits

Under Negative balance, keep the toggle disabled to prevent employees from going into a negative balance

 

Allowance increase

Enable Allow banking overtime as time off

How is overtime banked?

Select Converted hours from the attendance policy

 

This ensures that employees do not receive any standard allowance, and their TOIL balance increases only through approved converted overtime.

 

Step 4: Assign the policies

Complete the setup by assigning employees to both policies:

Assign employees to the Attendance Policy

Assign employees to the Time Off Policy

Once this is done, employees will be able to build a TOIL balance through overtime worked in Attendance, without receiving any regular accruals through the time off policy.

Is it correct to assume that only the overtime that was approved by approver in periodical timesheet can be converted to TOIL? 

Currently our managers have 2 days to approve timesheets after the automatic submission. Once this time elapses, and they haven’t approved it, they can’t convert overtime to TOIL. As we allow carryover, the cycle can’t be extended. How could we fix this?
