What happens to a task when the anchor event is changed while the task list is still triggering

When an anchor event date is modified while a task list is still triggering, Bob will not re-trigger the entire task list. Instead, it will adjust the scheduled tasks to align with the new anchor event date.

 

- For instance, if the start date is changed on 28/03/2024, Bob will automatically reschedule the tasks that are still pending to fit the new start date.

 

Example: If the original start date was 01/03/2024, and you move it to 28/03/2024, tasks that were scheduled based on the original start date will now be recalculated based on the new start date.

 

Adjusting the anchor event date while tasks are still triggering provides a bigger flexibility in managing task schedules without the need to manually reassign or recreate tasks. However, in some cases where a complete re-trigger is necessary, it's crucial to manage correctly the existing tasks to maintain task flow integrity.

I recently had to dig into this for a client and I feel there is an additional level to consider which is the timing of the first task in the autoscheduled task list. 

Below is the guidance I have given them on this which has been built into another task list prompting the people team to review whether a manual re-trigger is required. 

 

How Hibob Auto-Scheduled Task Lists Re-trigger When Profile Dates Change

Before you start: Look at the task list configuration and identify how many days before the anchor date the first task is set to trigger. This is your reference point for determining whether manual re-triggering is needed. This will be referred to in the guidance below as x days. 

For example: If the first task in the "Fixed Term Contract: Upcoming end date" task list triggers 60 days before the contract end date, then 60 days is your marker.

 

When a date in someone's profile is changed that is the anchor date in an auto scheduled task list (e.g., most recent contract end date, termination date), understanding whether auto-scheduled task lists will automatically re-trigger depends on the timing and status of existing tasks.

 

You DO need to manually re-trigger an auto-scheduled task list if BOTH of these are true:

  • There were tasks showing as "Scheduled" from the task list before you made the profile change, AND
  • The new date is less than X days from the date the profile was updated (X = the lead time of the first task)

You DON'T need to manually re-trigger if:

  • All tasks already triggered in line with the old date (no "Scheduled" tasks were showing), OR
  • The new date is more than X days from the date the profile was updated

In these cases, the auto-scheduled task list will re-trigger automatically.

 

Key principle: Hibob will automatically re-trigger auto-scheduled task lists if either all scheduled tasks have already been sent out, or if there's enough time (X+ days) for the full task sequence to run from the beginning. If you're in the middle of a task sequence (some scheduled, some sent) and the new date is too soon, you'll need to manually re-trigger to ensure all tasks are sent with the correct timing.
