To do this, we can set up a self service flow that triggers the task list, please follow the steps below (I will explain this for the Financial category as an example):

Create a task list, without scheduling, and then create the email task inside this task list.

Create a self-service flow that includes the Financial category and links the task list to it in the Features step.

Make sure no employee has permission to edit their own Financial categories, as the flow is going to grant them this permission. In this case, I suggest checking the ‘All people — own data’ permission group and all other groups that might give the employees this permission for themselves.
