Use Task Lists and People Data Update flows to automate training assignments whether it’s for new hires, promoted employees, or specific groups.

 

Flows help you manage change processes (like promotions or transfers) and trigger automated follow-up actions—like assigning training.

 

  1. Go to System settings > Flows > People data updates
  2. Create or edit a flow (e.g., “Promotion approval flow”)
  3. In the flow setup, make sure to include the relevant fields
  4. Under Additional steps, select who you need to approve the training
  5. Select who you wish to view the request data
  6. Select the relevant training task list to launch when the flow is approved.

 

Create the training task list:

  1. Go to Tasks > Task Lists Settings
  2. Click + Create task list or Duplicate an existing one
  3. Add a Title and description (e.g., “Manager Training After Promotion”)
  4. Choose a Task list owner — this person’s permissions define visibility
  5. Set the Time of day and Time zone for task delivery.

 

Add tasks for training:

  1. In the Task List builder, click +  > Create task
  2. Choose the type of tasks you like to have, for example:
    • Email task – to send training instructions or links
    • General task – to add a to-do like “Watch intro video”
    • Add descriptions like learning objectives, platform link, instructions
    • Assignee – employee, their manager, or another role
    • Due date or trigger

 

Optional extras:

  • Add an eSign Request for acknowledgment
  • Add a Feedback task to collect post-training input

Hi there, as training is learning, is there a way you can link this to the LMS part of Bob and have it record learning hours against this learning?

Hi ​@Karen Rojter Thank you for raising this, that’s a great point.

When you assign training through the Learning module, whether automatically via a Learning task in a task list or manually from People’s learning, the learning activity is recorded within the Learning module itself, are all tracked in the employee’s Learning record.

However, this does not automatically populate a separate field in the employee profile or in a category table. If you’re looking to have learning data reflected in a specific employee profile field for reporting or visibility purposes, that would likely require a product enhancement.
