Scheduled reports are generated before their configured send time, which can affect results when the report uses calculated fields as filters.
When Bob prepares a scheduled report, the report is generated a few hours before its configured send time to allow enough time for processing and delivery.
This means the report filters are evaluated using the data available when the report is generated, rather than when the report is sent.
For example, imagine you have a calculated field called Days until start and your scheduled report uses the condition:
- Days until start < 2
If an employee's calculated field value is populated after the scheduled report has already been generated, they won't be included in that scheduled version—even if they meet the condition by the time the report is sent.
This can explain why an employee:
- Is missing from the scheduled version of the report.
- Appears correctly when you view the live report later.
When troubleshooting missing employees in a scheduled report, check both the report's generation timing and when the relevant employee profile and calculated field values are populated.
If the report feeds an external system or triggers downstream activity, keep this timing in mind when defining filters based on calculated fields.
