Which Report Should I Use to Track Employee Data Changes?

Need to report on employee data or field changes but not sure which report to use? The right report depends on what you want to track.

 

I want to know what changed, when, and who made the change

Use the Employee data audit report.

This report is based on the date the change was made and shows:

  • What field changed
  • The original and updated values
  • When the change was made
  • Who made the change
  • The effective date

Example: You want to check who updated an employee’s address and what the address was before the update.

You can also use Advanced filters > Category changes to focus on changes within a category, such as Address.

 

I want to report on changes that became effective

Use the Employee data changes report.

This report helps you identify changes to selected employee fields. Changed fields are highlighted in the report.

Example: You need to identify job or salary changes that need to be reported to a payroll provider.

This report can also pick up retroactive changes. If a change is entered today with an effective date in the past, the report will show the past effective date.

 

I only want to track changes to specific fields

Use a Change-tracking report.

This report gives you more control over exactly what you want to monitor. You choose which fields to track and can add other employee information for context without tracking changes to those fields.

You can also add the Previous value to compare the old and new data side by side.

Example:  Your benefits provider needs a weekly report showing employees whose address details have changed. Select the relevant Address fields to track, then save and schedule the report.

To create one:

  1. Go to Analytics > Reports.
  2. Click + Add report > Start from scratch > Change-tracking report.
  3. Select the fields you want to track.
  4. Add any additional fields you want to see.
  5. Click Generate, then save the report.

 

I want to report on fields in a custom table

Use the dedicated custom table report.

When you create a custom table, Bob automatically creates a report for it. This is where you can report on the fields and data stored in that table.

To find it, go to Analytics > Reports > + Add report and search for the name of your custom table.

Example: You created an Equipment table with fields for different equipment information. Use the dedicated Equipment report to report on the data stored in those fields.

Good to know: An employee will only appear in the report if they have data in at least one field in the custom table.

 

I want to see the full history of a table

Use the relevant history report.

History reports show all the records stored in a specific People’s data table. Each record in the table appears as a separate row in the report.

For example:

  • Address history report for Address
  • Work history for Work
  • Employment history for Employment
  • Salary history for Salary

Example: If an employee has two records in their Address table, both records will appear in the Address history report.

 

I want to review how fields are configured

Use the Employee fields report.

This report is about the fields themselves rather than the employee data stored in them.

For example, you can use it to check:

  • Whether a field is custom
  • Whether it supports history
  • Whether it is archived
  • Its field type
  • Its field ID
