What to Do When You Can’t Find Your Email Template in Hiring

When creating email templates in the Hiring module in Bob, each template must be assigned an email category. These categories define where the templates can be used, which is why you might not find a specific template in your desired scenario.

In the screenshot below, you’ll notice only Rejection Automatic templates if available because they are tied to automated rejection scenarios.

Email Categories and Their Use Cases:

  1. Rejection

    • Available throughout the hiring pipeline.

  2. General

    • Available throughout the hiring pipeline.

  3. Hired

    • Available throughout the hiring pipeline.

  4. Interview

    • Available only when scheduling an interview with a candidate.

  5. Offer

    • Available only during the offer process.

  6. Referral

    • Available when sending referral links from Job Marketing. Templates in this category may include annotations about the employee receiving the referral link.

  7. Rejection Automatic

    • Available when setting up the application form for a job opening. These templates can be configured as automated rejection messages if disqualifying answers are chosen in screening questions.

*Ensure that the template you’re looking for is aligned with the correct category and scenario within the Hiring module.

    Hi, thanks for this! Can I please confirm that no automatic emails get sent to the candidate unless I instruct them to be sent?

      Hi ​@Hannah Sheward - Thank you for your question! 🙏🏻

      Currently, no automatic emails are sent to candidates from Bob. You can manually send an email by navigating to the Emails tab in the candidate's profile. From there, you’ll have the option to either write an email from scratch or use a template, as explained in our article. 😊

        How can one add an automatic email template that goes to candidates that have applied? How do I attach it to the pipeline. I did it 3 months a go and now it seems like its so unclear again..

          At this time, Bob does not automatically send emails to candidates. However, you can manually send emails by going to the Emails tab in the candidate’s profile. From there, you’ll have the option to either write a new email or choose an existing template.

          Hi all,  

          We see automatic schedule your interview invite going to the candidate, even though we have created a customised template for interview scheduling, so now candidates are getting two emails back to back.  

          Also, we are unable to see the default interview schedule template to select it from the drop down while scheduling the interviews.  

          Is anyone else facing this problem, this is deal breaker for us as we are unable to use automatic scheduling from Bob

            Many months after your post, but we’re encountering the same issue with the automatic emails going out with scheduling events. I’ve got a support ticket opened, we need to be able to edit the language in the automatic email for the scheduling feature to be usable for us.
