Hi everyone!

I was wondering if anyone is using Bob for time (working hours) tracking? We are looking for a simple solution with easy implementation for this and I would be curious to hear of any experiences with the Bob solution.

Thanks a lot! :)

Hi Kaisa!

We are using time tracking for both full time and part time employees, I’m happy to share our experience :)

Hi @Kaisa Parker! I would love to connect you with some of our other members based in Finland. They may have a workaround for this situation or you can share ideas on something else Bob related.

@Leena Kuitunen @Jaana Rokka @Saana Louhikoski @Elina Koski @Isabel Rangel  Feel free if convenient to connect with Kaisa! 😊

Hi @Saana Markko,

Great! It would be great to connect on this and hear your experiences with the time tracking! Could we have a Teams meeting some time maybe on the last week of June, for example?

Thanks a lot :)

Love it when two members connect, @Saana Markko @Kaisa Parker 😊.

After the call, if there’s any non-sensitive information or just a quick summary of the solution you come up with, please share back on this thread to benefit future members 🤗.

Hi!

I would love to know if You can get it working well:) We have only problem to get it on use is TES-tulkinnat  ( union agreements) and also to add multiple cost centers ( project management). For normal use for sure it is enough (clock in-clock out/ abcence or holiday:)

Please, share with us how did it go!

Br,

Katja

Hi @Katja Arkoma, I am the Attendance product manager at Bob. Nice to meet you and I hope you get valuable information from the collaborators here about the union agreements.

You mentioned cost centers and project management. I’d like to point you in the direction of this thread, where I am looking for customers that have some needs about project time tracking. The functionality we’re starting with is not going to solve all the problems for everyone, but might be impactful for some. If you’d link to hear more, you can ping me on that thread and I’ll get in touch.

Thanks!

Uri

Hi @Katja Arkoma

I’ll share with you after our meeting with Saana on what we discussed :)

Hi! Does anyone have experience on how you’ve arranged flexible working time in bob?

Additionally, how you’ve arranged over time, so called “saldovapaa” in Finland? Is there any tips how this could be done?

Hi Nea!

We are using Bob for flexible time tracking :) though our set up is fairly simple, just total working hours per day for each cycle and manager approval. No banking hours or anything. “Saldovapaa” time off is handled so that employee leaves the day empty and it shows as minus hours in a way. This helps to balance the total especially if the time off is taken in the same cycle as the over time.

Hi Saana!

Ok, so the saldovapaa hours needs to be used in the same pay cycle, but for example November hours can’t be deducted from December’s hours, right?

Nea

Hi @Nea Niemi,

We are not bringing hours to payroll, it’s completely separate process. Hence it’s easier to balance the hours as agreed internally :) But we have guided people to leave the hours empty even they are balancing hours from previous cycles, this way to big picture is correct. But as said, we are not using any banking so that might change the process a bit.

Hi @Saana Markko,

Thank you for sharing how you handle “saldovapaa” with Bob, that sounds good. How do you see the total overtime cumulation however? We are just setting up our Bob and we cannot see any overtime balance cumulation anywhere, not in “my attendance” and not in “people’s attendance”. Where do you see the totals?  Thanks!

Hi Petra! I don’t think there is a cumulated overtime anywhere in time section. Hence some keep their own side booking of their hours :)

Hi @Saana Markko , I am very late to this thread but would love to connect on this topic. I have not set up time tracking /flexi-working for Finland before. Could we do a Teams call some time this week or next?

Best,

Gaelle

Hi Gaelle!

Sure, I can walk you through how we’ve set up a time tracking in Finland. Though, it’s super simple, just Mon-Fri working time tracking with manager approval. No banking or anything :) I’ll send you my email as private message to set up the call.

Saana

Hi all,

just commenting here about how we currently manage flexible working hours and saldovapaa (balance leave as we call it) in Bob.

We track hours in attendance, we have a monthly cycle. After the cycle has closed, the balance of the month will be transferred to Time off “Balance leave” policy where we have the all time accumulation of balance hours. Balance leaves are applied using this time off policy as well. So, the employee’s total working hours’ balance is the balance in Attendance (the working hours balance for the current month) + the balance in Balance leave Time off policy (all the previous months).

I’m really waiting for Bob to support flexible working hours and balance leaves better but until that this is the solution we have done and it works ok.

Hi,

joining here a bit late but just to let you know that we are following our flex time (plus and minus hours) so, that we have created a Time Off Policy Flex time to which we import Offset hours (plus and minus hours) monthly.

Pretty frustrating that in two years, there still is no better solution for this, such that would track the plus and minus hours CUMULATIVELY. Shouldn´t be too hard for IT-wizards to solve, such work time tracking systems are common at least in Finland.

If any better ideas, do tell 🙂

Hi all,

We're in the middle of implementing Bob for time tracking in Finland right now.

The running balance itself seems to work fine, but saldovapaa we have not solved. A paid time off policy gets counted as worked hours, an unpaid one reduces potential hours by a day, and Bob won't accept a zero-hour entry. So none of them move the balance. Any extra manual work for our employees or HR sounds like a nightmare.

Has anyone come up with a better solution?
