Hide Birthday for specific or all employees

The best practice for deterministic hiding would be:

  1. Create a new Category (any data in this category will be hidden by default), inside we will recreate the Date of birth field.
  2. Employees that do not want their data public will need to have the data removed from the original Date of birth field
  3. We will populate the removed in the newly created category.

 

The best Practice for hiding ALL the Birthday data would be:

  1. Go to the permission group All people — others’ data.
  2.  People's data->People->Basic info,
  3. Restrict visibility over it.

By doing this work around, will this hide employee’s from the ‘upcoming birthday’s’ section on the main dashboard? 😊

Hi @Kate Jackson - This would also hide the applicable employees from the Upcoming Birthdays section on the homepage!

Hopefully the Bob team can help us both.

We have added the work around in but employees aren't yet able to see upcoming birthdays for those who have chosen to show their birthday. So this is currently a query I have raised with the Bob team to see if there is something they can do to help.

We are still able to see the age data in the DEI dashboard though...although it may be skewed now we have moved the DOB for some employees that wish to hide their birthday. I will need to have another look at it🤔

Really don’t want to have two fields with date or birth in. Find it odd that the upcoming birthdays section doesnt have a readily available opt in/out function prebuilt. Seems to have been a fair few threads asking similar.

Hiding some peoples birthday from public announcement is really important for me too, is it a feature request that anyone knows of? Seems odd to need to create a duplicate and affect all the reports etc...

Hi thought that I would share here,

We have implemented our own solution, by adding a field in personal called “I don’t want my Birthday shared on Slack” which people can self-serve.

We then turned off the bob slack implementation and built our own, which posts for the company. It does the same as the standard one (with a few extra emojis), but just looks for the flag to see if someone wants to go public.

Finally, to fulfil another need, we created a slack channel that gets a post every week about the upcoming events in the following week (birthdays new joiners and anniversaries), which is for people that are keen to know about birthdays in advance, that can subscribe to it.

No double up of birthday data and self serve on the flag :)

I know that this is not a solution for the homepage, but we decided Slack is good enough for us.

If anyone at Bob would like to see it, then let me know… maybe it could be part of the main product.

We built our own custom application with Python, using Bob’s API and Slack’s API…. and when I say we, I mean IT! Not me ;)

Just jumping in here to add that we have had several employees ask for their birthdays to be removed (for religious reasons or other) and it would be great to have an opt in or a toggle on / off function to set this up without having to create another field or remove their data altogether.

I’ve tried to turn off all birthdays showing per your instructions above, and the ‘View all other employees' Basic info sections’ is greyed out and I’m unable to untick. Can you help? We need to turn this off as soon as possible.

I am using the work around listed in the attached pdf in the first reply to this thread: Birthday Notification on Homepage | Community.

Essentially there is a category which is just “Birthday” which contains the DD/MM birthday format. The visibility of this category is determined by a custom permissions group which we titled “Birthday Visibility”. To control the visibility, we created a “Birthday Display” field with the options of Public or Private. The custom group is assigned to everyone, but the “Access Data for (by condition) is set to:

Which allows access to the Birthday Category of anyone who has set their Birthday Display to Public

We control the changes through the onboarding flow and have it set as a mandatory option for them to choose whether their birthday is public or private. As the Birthday Display field is also in their “Personal Information” which we’ve locked to just the individual, this can be edited at any point through self service flows.

Not the most ideal situation due to having so many different categories, but it works and stops peoples birthdays appearing on the homepage should they not wish to show it. We have just pushed the category to the bottom so we don’t have to scroll past it.

Do you know if the system takes a while to catch up? It seemed to work well last night and removed everyone from the upcoming birthdays section on the homepage. This morning everyone is back again and i havent changed anything! 😕

If you have any insight on this or any tips and tricks it would be much appreciated!

Ooo I am not sure, someone reached out to me on LinkdIn with a similar issue but I can’t say we’ve had any problem.

As long as the access data is : 

and the permission group is assigned to everyone, and the Birthday category is hidden in all other permission groups it should work as intended.

Although to follow up, it looks like ours has now broken too. It looks as though something might have changed in Bobs backend as that category isn’t visible but is still showing up.

EDIT : Seems to be hit or miss which is concerning, both myself and my manager are Admins on Bob, she can see all birthdays even when impersonating users, yet I only see public on either my own account or when impersonating. 


Thanks for the insight ​@Johnny Barnett . I did notice that it appeared to update, then it went back to showing everyone again (even when i login as another user). Hopefully it is a bug that will be fixed.
