Admin permissions control

Admins (super users) have access to everything in bob and unfortunately, it's not possible to restrict their access at the moment.

Our Product Team is aware of this limitation and currently working on the ability to have an admin custom group that will be limited to a specific set of data. For example, this custom admin will be open to all EEs, but without any access to Payroll data. However, we do not have an exact ETA on this yet. Hopefully, this will be available in the near future. 🤞️

In the meantime, the only way is to create a custom permission group and restrict access to salary/compensation information but give access to everything else on the employee profiles.
There are still certain features that are only available for Admins (e.g. Sandbox testing, "Login as" feature, "Roles & Permissions" settings, etc.).

Thanks, this was really helpful. Looks like custom permission groups are the way to go in the meantime.

Hi @Alicia Baling! I know I replied in the other thread below regarding this, posting again here for any future viewers on this post 😊
The Login As option won’t work for the Your Voice feature. The Your voice case management area, Manage Your voice, is only available to the designated representatives. They could always download the cases as a PDF and provide it to admins.
 

 


Is this still not possible?

 

For example:

  • Our HRBPs need to see comp related information, but only for their business units - but not other business units.
  • Our HRBPs need to see comp related information for their business units - but not their manager (i.e. Head of HRBP, CHRO etc.).
  • Our Finance Team should be able to have access to HiBob so they can see comp information, but not edit anything.
  • Our HRBPs, Finance might need to see information, but they shouldn't be able to back end edit anything on the settings.

...all things they can with this part of the product not being updated.

 

I think all HRIS' from BambooHR, to Rippling, iTrent, to even the cheapest $2 per month Saplings do this. Surely after 10 months the Product Team have been aware of this limitation which they were ‘working on the ability’ since this thread/topic was first made + HiBob closing deals on much larger organisations now 3,000+ employees. This is on the roadmap with an actual date to be implemented?

Is there an update on this? or an ETA on when this may become available? 


@eimundahl We managed to do permissions to have HRBPs see only some businesses units within a certain levels of the organisations, but had to get so granular with permissioning, by creating so many different permission levels, so it is not really a long term solution or scalable/automatic. Requires a lot of uplift and manual checking overtime. So hoping that they develop the depth of it soon.

Can you have more than 1 super-admin? Ours is currently out of the business, so we don’t have anyone with full admin rights in work

Hi ​@Ronyseamons You could try setting up site admins who have a lot of the same permissions. 

We’ve had some similar conversations around admin rights and activity here, if it helps.

 


Are there any news on this topic?

For instance, when and if admin per site would be available in HiBob? 

For companies operating in multiple countries- there is a need an admin for 1 site not to have access to other sites’ data.

Hi Bob community 👋

We’re experiencing challenges with the Limited Admin setup and wanted to hear if others are in the same situation.

As Limited Admins, we don’t have access to Permission Groups, which makes it difficult to support new features and troubleshoot issues effectively.

At the same time, not all admins need access to e.g. payroll data — just as payroll admins don’t necessarily need access to all other admin functionalities. This lack of flexibility is creating bottlenecks in our organization where only very few employees are admin, which is slowing down workflows.

Is there any ETA on a more advanced Limited Admin setup or more granular admin permission controls?

Curious to hear how others are handling this in the meantime!

Hi team,

Just catching up on this thread and latest developments in this area.  We’re now live with most modules and wanting trim back the numbers of admin users we have (we initially went with the approach that our relatively small HR & Payroll team all needed Admin access initially).  However, the area we particularly want to restrict is the Talent module or PDRs specifically, whilst enabling flexibility for our core HR team to continue to access all other modules.  For example, our HR Admins typically create surveys but don’t need to be able to access all PDR information.   Has anyone come up with a creative solution to this please?
