What Are P11Ds and Why Do We Use Them?

 

A P11D is a form used by employers in the UK to report certain non-cash benefits and expenses provided to employees or directors. These benefits are taxable but not part of the employee’s regular salary, so they need to be reported separately to HM Revenue and Customs (HMRC).

 

Why Are P11Ds Important?

 

Tax Reporting: P11Ds help ensure employees and directors pay the correct tax on benefits received. These benefits are added to the individual's income for tax purposes.

National Insurance Contributions (NICs): Employers also use P11Ds to calculate and report Class 1A NICs on the value of the benefits they’ve provided, ensuring they comply with NIC requirements.

Compliance: The form ensures both employers and employees stay compliant with UK tax laws. Failure to submit or inaccurately completing P11Ds can lead to penalties.

 

When and How Are P11Ds Used?

 

P11Ds in UK Payroll: P11Ds can be processed through UK Payroll once the final payroll is completed for the tax year. 

Submission Deadline: Employers must submit P11Ds to HMRC by July 6th after the end of the tax year (April 5th) and provide employees with a copy.

Filing: P11Ds are filed online with HMRC or via payroll software. Employers must also submit a P11D(b) form, which reports the total Class 1A NICs owed.

NIC Payments: Class 1A NICs must be paid by July 22nd (electronic payment) or July 19th (Cheque payment).

P11D(b): Report the Class 1A NICs due on the P11Ds or payrolled benefits. 

 

Common Benefits Reported on a P11D

Company Cars: If an employee uses a company car for personal use, the benefit is reported on the P11D.

Private Medical Insurance: The cost of any private healthcare provided by the employer is also reported.

Loans: Interest-free or low-interest loans to employees may need to be declared.

Other Perks: Travel expenses, or gym memberships are examples of benefits that should be reported.

 

Starting from April 2027, HMRC plans to replace the P11D system with a new digital reporting system through Real Time Information (RTI) referred to as payrolling benefits. This change will simplify the process for employers and employees alike. You must register to payroll benefits with HMRC before the start of the new tax year. P11Ds ensure that employees and directors are taxed correctly on non-cash benefits and help employers stay compliant with tax regulations.
