HiBob System Emails Explained

HiBob uses fixed sender addresses for all system-generated emails, and these addresses cannot be customized. Every standard system email is sent from noreply@hibob.com, and this cannot be changed to a personal mailbox, a shared inbox, or a company-branded domain.

Even if the display name shows something like “Sam Jones via Bob,” because that person triggered the action, the real sender address behind it will always remain noreply@hibob.com.

Some companies want the display name to look more generic or more aligned with their HR team. In those cases, they sometimes create a separate profile in Bob, such as “HR Services,” (who should be an admin) and use that profile to trigger tasks or actions. This affects only the display name that appears to the recipient. It does not and cannot change the actual email address the message comes from.

Thank you

Hi, thanks so much for the clarification!

Regarding mails sent from no-reply@hibob.com with “Sam Jones via Bob”:

For all existing, pre-configured email notifications in Bob (e.g. eSign reminders), whose name is shown in that sender field?
Is it a random admin? Is it the first Admin that was created in Bob? Or is there another logic behind it?
