Benefit changes made in BenAdmin automatically sync to U.S. Payroll, ensuring employee deductions and employer contributions stay aligned with the employee's current benefit elections.
Benefit changes sync through your organization's scheduled payroll export, which is configured during your BenAdmin implementation. While the schedule varies by organization, changes made during the business day are typically reflected in U.S. Payroll by the following business day.
Important: BenAdmin is the source of truth for employee benefit elections and BenAdmin-generated deductions. Always make benefit-related updates in BenAdmin. Manual changes to BenAdmin-generated deductions in U.S. Payroll may be overwritten during the next scheduled payroll export.
If a benefit change isn't yet visible in U.S. Payroll, one of the following is usually the reason:
The scheduled payroll export hasn't run yet
Benefit changes sync to U.S. Payroll only when your organization's scheduled payroll export runs.
If a change is made after that day's export has already completed, it won't be included until the next scheduled export. In most cases, the update will appear in U.S. Payroll on the following business day.
Example:
Your organization's payroll export runs every weekday at 8:00 PM ET. An administrator updates an employee's benefit election at 8:30 PM ET. Because the export has already run, the change won't sync until the next scheduled payroll export and will typically appear in U.S. Payroll the following business day.
The payroll has already been finalized
Benefit changes aren't applied retroactively to payrolls that have already been processed.
If payroll has been finalized before the benefit change is made, the updated deductions and employer contributions will be reflected in the next eligible payroll.
Example:
Payroll is finalized on Thursday morning. Later that afternoon, an administrator terminates an employee's vision coverage. Although the change syncs to U.S. Payroll during the next scheduled payroll export, the finalized payroll isn't recalculated. The updated deductions and employer contributions are applied to the next eligible payroll instead.
Additional action is required
Some benefit elections require additional approval before the full benefit amount becomes active.
For example, if an employee elects coverage that requires Evidence of Insurability (EOI), payroll reflects only the employee's approved coverage until the EOI process is complete and the carrier's decision has been recorded in BenAdmin.
If you've confirmed that:
- The benefit change was completed in BenAdmin.
- Your organization's scheduled payroll export has already run.
- Any required approvals, such as EOI, have been completed.
