1-on-1 Meeting Disappears After Creation

If a 1-on-1 meeting disappears shortly after it’s created, there may be a mismatch between calendar details and the participants' Bob profiles.

Before opening a support ticket, check the following:

  • Open the manager’s calendar and confirm if the meeting still exists there.

  • Make sure the email addresses of both the manager and employee in the calendar exactly match their work emails listed in Bob.

    • This includes checking for differences in domains (e.g. @company.com vs. @team.company.com)

    • If the calendar uses a different email (like a secondary or personal address), Bob may not recognize the event as valid and will remove the meeting.

This helps ensure that 1-on-1s stay synced between Bob and external calendars.

Is there any plan on solving this or give the ability to “opt out” on the check? We just rebranded our company and have aliases on all our e-mail-addresses. Because just just don’t change and remove everybody’s addresses within the Microsoft environment “just like that”.

Thank you for your question.

This behavior is intentional. Bob must match calendar participants to employees based on their exact work email address. When the email used in the calendar does not match the one defined in Bob, the system cannot reliably identify the participant, so the meeting is removed.

Because of this, there isn’t a way to opt out of this validation. Supporting mismatched or alias-based emails would introduce ambiguity in identifying users and could lead to incorrect syncing.

In environments where aliases are used (such as during rebranding), the recommended approach is to ensure that the primary email configured in Bob is the same one used by the calendar for scheduling 1-on-1 meetings.

ok, I get that, but that the meeting also disappears from bob is rather unfortunate. I totally understand that the outlook integration will not let the meeting go through to a “faulty” address, but in this case I think that it is the new e-mail alias that does not match, the account is still the same otherwise as it was before… Could you look into it?

Now we have 1 on 1s disappearing for newly created accounts, both in bob and the AD (created in the AD from an integration from bob so absolutely the same email and no aliases) and the meeting still disappears. 

Can you look into that  from here? I will create a ticket separately too.

I second the concern on this. From a HR perspective it is less than ideal that documentation from a 121 goes missing, particularly if you are in the early stages of performance management support. 

Fully understand it needing to sync with the correct email, but surely there is a way for the notes to remain on the personal profile?

Regarding the specific issue Lina mentioned — if you’re seeing items disappearing from other areas in Bob as well, please open a support ticket so we can investigate further. Based on the description, it’s likely not within our scope, but we’ll review to confirm.

As for the request to keep meetings from disappearing entirely, I understand the need. A possible approach could be to have them marked as unsynchronized instead. This would require raising product feedback, so please open a support ticket and we’ll route it accordingly.
