Creating global dashboards (and reports) for self-service use

Hi! (I will share in this group as well)

We have started a project where we are going to create global dashboards and reports for our Executive team, managers and Finance team where they can by self-service access important KPIs and data. 

Has anybody done this or a similar thing in Bob for your company? I am interesting in knowing how you set it up and also guided/coached them in how to be independent when using Analytics in Bob. Please share :)

We have started this on a small scale, just for two roles, a financial role and the Chief Organizational Officer. 

We have done so by making a permission group (two separate in this case) where they are permitted to see the necessary data, then we logged in as them and set up the dashboards + widgets they needed. 

My key take away so far is that:

  • it’s really important to understand the data that the roles need and to see to which degree it can be produced as a dashboard+widget (vs reports). 
  • you need to properly communicate what the widgets includes in the data (tied to the point above)
  • give training in how to use the dashbord + widget 

These three points together helps to ensure a common understanding of the data and how to use it/extract it.

Hi ​@Mia Torp, thanks for sharing your key take aways - that is good input! How have you set the dashboards and reports up? E.g. with the dashboards, have you or somebody else created one or a few (depending on what data is needed) and then shared them with the relevant stakeholders or have you trained them to create the relevant dashboards themselves? Not connected to the other question, how did you train to use dashboards + widgets?

For the dashboard, we mapped out together what they needed of information, then I logged in as them and made their own custom dashboard. That is just due to the fact that you need some level of understanding of widget to understand what to choose in order to get the data you need. It takes less time and frustration for us to do it when needed with the current scale of this. We might consider things differently if/when we want all managers to be able to set up dashboards and widgets on their own.

 

So our training has mostly focused on the settings of a widget ( x axis, attributes etc etc) and how it is connected to the timeline for the dashboard it self. We have used available documentation from the help center and we had a digital training session showing a dashboard and editing a widget, diving into data etc.

I’m the product manager leading Bob’s analytics, nice to e-meet you :) 
1. I was wondering if you can share which widgets you chose for each different persona? it would help us in mapping the need of different personas from our system. 
2. was there anything that you struggled with during this creation process? If so I’d be happy to hear your feedback about it.
3. just wanted to shed some light on the fact we added a “dashboard sharing” feature allowing a user to create a dashboard in their own environment and share it with the relevant personas that need to view it. (It means you don’t need to log in as them anymore but can just share the dashboard with them instead from within the system). you can see more information about how to share a dashboard by clicking here.

This is now quite a long time ago, but I will answer as best as I can.

It was based on which information the roles had requested. 
COO (where the intent is to share information with C-level, so information for all employees): 
Headcount, terminated employees, FTE, Growth rate, turnover rate 

Financial role:
FTE, New employees and Headcount with data including all employees.

Yes, that not all the data we want is available in bob - for example sick leave % and that it is not intuitive for ‘new people’ to know which data they have to choose in order to set up the widget they want - which results in HR having to set it up for them.

Thank you for your answer ​@Mia Torp ! I appreciate your feedback and it makes a lot of sense to divide the dashboards by role and their specific need.

Teach your dashboard users not to play too much….

Depending on the data in the report that All company history option in the presets can make it try and deal with a crazy amount of data… Slow, might even hang.
